Task templates are predefined sets of tasks that can be reused across multiple projects, ensuring consistency and streamlining workflow.
If you are using the same task list on several projects, it makes sense to create task templates. This way, you can quickly add a task list to your projects.
Once a task from the task templates is added to projects, you can edit it independently in each project, and this will not affect the same task in other projects.
Please go to Settings > Task templates to create and manage task templates. Note that only Administrators can create and manage task templates, while Managers can only apply them to specific projects.
How it works?
First, you need to create a Task template list. Task templates are always organized in lists. When adding templates to the projects, you will select a Task list, not individual tasks. This means all task templates from the same Task template list will be added at once.
Task template lists can be created manually or imported:
Each Task template list needs to contain at least one task template. Empty Task template lists will be discarded.
Here's how to add task templates to the list:
Task template description
The task description that you enter on a task template will be shown on the project overview once a task is added to the project. It will also be displayed for users in the Task dropdown on the Track page.
Here's how the task list and task look when added to the project:
And in the Track dropdown:
Non-billable by default
If you wish to set the task as non-billable by default, remove the 'Billable by default' option:
This means the task from this template will always be created as non-billable on projects, but you can manually edit the task on individual projects and change it to billable if needed.
Add to all new projects
When creating a task template, you can set it to be automatically added to all new projects:
Add to all existing projects
If you wish to add a single task template from the Task template list to all existing projects, you can do this here:
To add multiple task templates from a list to all of the existing projects, you need to perform this action on each task template. At this time, it is not possible to add the entire Task template list to all existing projects at once.
Add to individual projects
To add a Task template list to a single project, visit the 'Tasks' tab on the project overview:
Editing task templates
You will be able to edit your task template when needed. The edits to the template will be reflected when adding the Task template list to future projects, not on the existing projects.
Please note that only the template will be updated when editing a task template. Updating the template will not update the tasks in projects. Tasks in the projects are independent of the task templates and one another.
If you archive a task template, it will no longer be included in the list when the Task template list is added to future projects. You will be able to reactivate the task template if needed. If you delete a task template, it will be permanently removed from the Task template list. Archiving or deleting task templates will only remove them from the Task template list, never from the existing projects.
