If you wish to review the time logs submitted by your team before including them in the reports and billing, you can use the Approval workflow.
Go to Settings > Account settings > Approvals tab to set your preferred method of submitting and reviewing logs. There are three options:
1. Submit for approval
With this option, every user needs to submit their timesheet manually after it is completed. Time logs are not shown in any of the reports before users submit them. When a timesheet is submitted, time logs get a 'Pending' status and are submitted for approval.
With manual submission, the Administrators and Managers can be sure that the data in reports is final and that the timesheet does not need any further edits. This also allows users to keep the draft of their timesheet as 'Unsubmitted time' and polish it with final edits before submitting it.
Additionally, you can also turn on the timesheet validation, which means all users will receive a warning when trying to submit their timesheet with errors (entered hours being under or over target hours). Set up timesheet validation >>>
2. Automatic submission
Each entered time log is saved and submitted automatically. This means that the Administrator can view the time log as soon as the user has entered it. Time logs get 'Pending' status and are automatically submitted for approval as soon as they are entered. Users do not need to manually submit their timesheets after filling them out.
3. Disabled
Time logs do not need to be reviewed and approved. They are included in all reports as soon as they are entered. Users do not need to manually submit their timesheets.
If you select the first or the second option, the approval will be set to required for all existing users on all projects. To automatically set this for all new users as well, select the option 'New users added to account have approval required by default':
*** Please note that you can turn off the required approval on individual user's profiles if needed.
Additional setting: Admins and managers cannot approve or reject their own logs
If you have multiple Administrators or Managers, you can set that none of them can approve their own time logs:
This means they will be able to approve logs for other members, but their time logs will need to be reviewed by another administrator or manager.
