The basics of tracking time in My Hours.

To start tracking, navigate to the Track page.

If there are no projects and tasks to select from the dropdown, please ask your administrator to assign you to projects that you will be working on. You can only add time to projects that are assigned to you.

Once projects have been assigned to you, you can start tracking immediately.

There are two different ways to enter your hours:

  1. Weekly view: manually fill out a weekly timesheet

  2. Daily view: track real-time with a timer or manually add logs in the daily view

Both views will allow you to:

  • add notes of what you are working on

  • add your expenses

  • attach files (allowed file extensions: .pdf, .csv, .xls, .xlsx, .doc, .docx, .txt, .jpg, .jpeg, .png, .gif)

  • use tags

You can switch from the weekly timesheet to a daily timer view here:

*** If this option is not available for you, a manual timesheet submission is turned on for your account. It will need to be switched off for the daily view to become available. Please contact your administrator about this.

1. Weekly view: fill out a weekly timesheet

When you are in the daily timer view, you can switch to the weekly timesheet here:

The Weekly view enables you to quickly fill out a weekly timesheet. You will want to use it, if you are not tracking your activities in real-time, and are used to manually entering your hours in a timesheet at the end of the day or a week. Here you will be able to quickly see how much of your time was spent on each task in a week.

If you need to add more details to each entry (such as a description, start and end time, or expenses), this is also possible, like this:

If you add a new row with the same Project and Task that were already entered, a sub-row will appear under the row with such Project and Task. This way you can enter multiple time slots for a Project/Task.

*** Please note that if you click on the 'Delete' icon next to the row totals, all entries for the Project/Task will be deleted. To remove individual logs, edit only the specific field.

If you are mostly working on the same projects and tasks every week, you can simply copy the list of Projects and Tasks from the previous week:

Working on weekends?

If you need to add weekend days to your timesheet, please go to your Profile and select the 'Working on weekends' option.

2. Daily view: track real-time

You can switch from the weekly timesheet to the daily view here:

*** If this option is not available for you, a manual timesheet submission is turned on for your account. It will need to be switched off for the daily view to become available. Please contact your administrator about this.

You will want to use this view if you need to track how much time exactly you spend on each task. This view also allows you to:

  • use ‘Favourite logs’ for recurring activities

  • switch between activities

  • copy a time log with all the details

Start the timer

By clicking ‘New timer’, the timer will start running right away and you can add log details later.

The timer will also start running when you enter all details except duration/start and end time in the 'Add a time log' form and click 'Start timer':

How to add manual entries?

By clicking ‘Add time log’ you will be able to manually enter the start and end time or duration. This way you can enter time for the past as well.

When you enter the duration (or start and end times) the former 'Start timer' button will transform into the 'Add time log' button and the timer will not start running when adding a time log:

Here's how to stop the running time log:

You can then resume a time log, like this:

Or you can simply switch between activities. This action will stop tracking your current activity and start a log with the new activity.

Here's how to copy an existing time log with all details:

The recorded time logs can be grouped or shown individually. If you select 'Timeline', the time logs will be displayed individually and ordered chronologically. You will also get a visual representation of your logs on a timeline. If you unselect 'Timeline' all time logs that are exactly the same will be grouped together.

There is one more feature this view has to offer, the Favorite time logs. If you work on tasks that recur frequently, you can add them to your favorites, so you will be able to start them in no time.

Keyboard shortcuts

You can use these keyboard shortcuts to perform actions without using the mouse:

  • A - opens "Add new time log" form

  • Shift + 1,2,3,4... - to start/add a Favorite log

  • < > (left/right keys) - to move between dates

  • Ctrl + Enter - start the timer. ** Pressing Ctrl + Enter while the timer is running will stop the current time log and start a new time log.

4. Browser extension

You can also install a browser extension to add logs without visiting the web app every time.

4. Tracking reminders

Your administrator can set daily and weekly email reminders to notify you about the status of tracked vs. target hours.

You can however set the mobile push notifications yourself to remind you to enter your hours.

If you wish to receive a reminder on your mobile device at the start and the end of each workday, please download the mobile app first. Then turn the mobile reminders on in the ‘Work settings’ section of the ‘Account’ tab of the mobile app:

You will then receive a reminder:

  • If you have not yet entered any time and it is past the time when your daily work routine is set to start.

  • If the timer is still running and it is past the time when your daily work routine is set to finish.

5. Assigned tasks (optional)

If the administrator has assigned some tasks specifically to you, you will find them in the 'My tasks' dropdown:

This is however not necessary for you to be able to track time on these tasks, you just need to be assigned to the projects.
